Guide for homestay hosts
Homestay booking spreadsheet vs booking software
Many homestays start with a spreadsheet plus WhatsApp, and that is a reasonable way to start. This guide is an honest look at what a spreadsheet does well, where it breaks down, and the point at which booking software becomes worth the switch. RumahTamu is booking software, so we say plainly when you should stay on a spreadsheet.

What a spreadsheet does well
- It is free and you probably already know how to use it.
- It is flexible. You can add any column you like and shape it around how you work.
- It is enough for a small operation. One property, a few bookings a month, you handling every message yourself.
Where a spreadsheet starts to break
Overlaps go unnoticed
A spreadsheet will happily hold two bookings for the same nights. You only find out if you spot it yourself or build a formula to flag it, and that formula needs to keep working as the sheet changes. See our double-booking guide for why this is the costliest mistake.
Platform bookings are re-typed
Every Airbnb or Booking.com stay has to be copied in by hand, and every cancellation has to be removed by hand. Our iCal guide explains how calendar feeds remove that copying.
Payment tracking gets messy
Deposits, balances, partial payments and refunds need several columns and formulas. They work until someone edits a cell by accident, and then the amount due is wrong without anyone noticing.
It is awkward on a phone and with helpers
Most hosts handle bookings on their phone while moving between properties. A wide sheet is slow to read there, and two people editing the same file can overwrite each other.
Side by side
| What you need | Spreadsheet | Booking software (RumahTamu) |
|---|---|---|
| Cost | Free | Free tier available, paid plans for more properties |
| Setup time | Minutes, you design it | Minutes, structure is ready-made |
| Overlap warning | Only if you build and maintain a formula | Built in: a warning appears before an overlapping booking saves |
| Bookings from Airbnb / Booking.com | Typed in by hand | Imported from iCal feeds, refreshed regularly |
| Payments (deposit and balance) | Extra columns and formulas you maintain | Recorded against each booking, amount due is calculated |
| Guest messages | Copied from notes | WhatsApp message filled in from the booking |
| Phone use | Workable, but fiddly to edit | Designed to be used on a phone |
| Several people editing | Easy to overwrite each other’s changes | Owner and staff roles |
| Flexibility | Total: any column, any layout | Fixed structure, less to customise |
When to stay on your spreadsheet
Signs it is time to switch:
- You take bookings from more than one place (Airbnb, Booking.com, WhatsApp).
- You have nearly had a double booking, or had one.
- You spend time each week re-typing bookings or checking who has paid.
- Someone else helps you and needs to see the same information.
- You manage more than one property.
How to switch without losing your history
- Keep the old spreadsheet as a read-only archive.
- Add your property to the new tool and enter only the bookings that are still upcoming or unpaid.
- Connect your Airbnb and Booking.com iCal links so platform stays come in without typing.
- Record every new booking in the new tool from a fixed date, and stop updating the sheet.
Try RumahTamu alongside your spreadsheet
RumahTamu’s Free plan covers one property and up to 15 bookings a month, so you can run it next to your spreadsheet for a while before deciding. RumahTamu imports Airbnb and Booking.com iCal feeds one-way, records payments against each booking, and warns you before you save an overlapping booking.
Frequently asked questions
Is a spreadsheet good enough for a homestay?
For one property with a handful of bookings a month, often yes. A spreadsheet is free, familiar and flexible. It starts to strain when you have several channels, several properties, helpers who also edit it, or payments to track across deposits and balances.
What can a spreadsheet not do for me?
It cannot warn you when two bookings overlap unless you build and maintain that logic yourself, and it cannot pull in bookings from Airbnb or Booking.com on its own. Every platform booking has to be typed in by hand.
Can I keep my spreadsheet history when I switch?
Yes. Keep the old file as an archive. Most hosts only need to enter bookings that are still upcoming or unpaid, then record new bookings in the new tool from that point on.
Does RumahTamu cost anything to try?
The Free plan covers one property and up to 15 bookings per month, with the booking calendar and WhatsApp-ready guest messages. Paid plans start at RM49 per month.
