Guide for homestay hosts
How to avoid double bookings at your homestay
A double booking means two guests hold the same nights at your homestay. It costs you a guest, possibly a penalty, and a bad review. If you take bookings from Airbnb, Booking.com and WhatsApp at once, it is one of the most likely things to go wrong. This guide explains why it happens and the habits that prevent most of it.

Why double bookings happen
- Sync delay. Calendars shared by iCal update on each platform’s own schedule, so two guests can book the same nights inside the gap.
- Direct bookings that never reach a calendar. A stay agreed on WhatsApp or by phone is invisible to Airbnb and Booking.com until you block the dates.
- Several calendars, none in charge. A paper diary, a phone calendar and two platform calendars will drift apart.
- Unconfirmed enquiries. A guest who says “I will confirm tomorrow” does not hold the dates unless you decide they do.
- More than one person editing. A helper or family member updates one place and forgets another.
Three habits that prevent most double bookings
1. Sync the platforms with each other
Have each platform import the other’s calendar link so a booking on one blocks the dates on the other. It is free and takes minutes per property. Our iCal sync guide walks through the setup and its limits.
2. Keep one calendar you trust
Pick a single place that is always right, and check it before agreeing to anything. The platform calendars become copies of it rather than separate sources of truth.
3. Record before you reply
When you agree to a stay, record it first and answer the guest second. For a direct booking, block the dates on every platform in the same sitting. This one habit closes the biggest gap.
A quick check before you confirm any booking
- Look at your main calendar for the exact nights, including the night before check-in and the day of check-out.
- Check whether any enquiry is already holding those dates.
- If it is a busy period, look at the platform calendars too, in case a recent booking has not synced yet.
- Confirm to the guest, then block the dates on every other platform straight away.
If a double booking happens anyway
- Act the same day. The sooner the guest knows, the more options you have.
- Decide who to move. Usually that is the booking made last, but consider which guest is easier to rehouse.
- Contact the guest personally, apologise plainly, and offer real alternatives: another unit, other dates, or a nearby place you trust.
- Refund promptly any deposit or payment you cannot honour, and keep a record of it.
- Check the platform’s current rules before cancelling a booking made there. Cancellation penalties differ by platform and change over time.
- Find the gap. Work out which of the causes above it was, and fix that habit.
How RumahTamu helps
RumahTamu gives you one calendar for direct bookings and the stays it imports from your Airbnb and Booking.com iCal links, colour-coded by source.
- When you save a booking that overlaps an existing confirmed stay, RumahTamu shows a warning before it saves. You can still choose to save anyway, and that override is recorded.
- Booking requests from your public property page hold the dates for a limited time, and expired holds are released automatically.
- Imported stays refresh every hour, and you can sync a property manually before confirming something important.
The Free plan covers one property and up to 15 bookings per month.
Frequently asked questions
What is the fastest way to prevent double bookings?
Record every booking in one calendar the moment you agree to it, before you reply to the guest. Most double bookings come from a gap between agreeing to a stay and blocking the dates everywhere.
Can iCal sync stop double bookings completely?
No. iCal feeds are re-read on each platform’s own schedule, so there is always a window where two guests can book the same nights. Sync reduces the risk but a quick check before confirming closes the rest.
Are direct bookings a risk?
Yes. A stay agreed by WhatsApp or phone is not in any platform’s calendar unless you block those dates yourself. Block direct bookings on every platform straight away.
Who is responsible when a double booking happens?
Platforms generally expect hosts to keep their calendars accurate, and they may apply cancellation penalties or other consequences. Rules differ by platform and change over time, so read each platform’s current policy.
